Under the supervision of the University Registrar, the Assistant Registrar - Operations is responsible for the general operation of the registrar's office and management of the graduation process, communication to students, faculty and administration in regard to graduation and commencement, maintaining students' individual degree audits, and management of diploma distribution to alumni. This position will communicate and work with outside vendors and assist with the payment requisition process. This position will also assist with registration, grade verification, and performing other office tasks as needed.

Offers some hybrid work flexibility (up to 1 day per week remote work).


Responsibilities:

  • Manages the degree conferral process and serves as the liaison between the Registrar's Office and other university administrators, staff, and faculty regarding the commencement and degree conferral process.
  • Generates statistical data reports related to commencement.
  • Maintains and interprets procedures related to degree audit within University policies, and oversees exceptions to degree, signature learning, major, and minor requirements.
  • Works with various offices to create the academic calendar and provide guidance to the registrar's office on process flow.
  • Continually improve processes and workflows to create more efficient systems, and creates and/or maintains registrar-related forms when necessary.
  • Assists other specialists with office tasks during peak periods.
  • Supports cross-training within the office when needed.

Qualifications:

  • Bachelor's Degree or equivalent experience is required.
  • One (1) year of experience in admissions, registration, student services, or a related field.
  • At least two (2) years prior experience in an office setting serving the public with professional and courteous qualities.
  • Knowledge of graduation and commencement processes.
  • Knowledge of Higher Education Registrar software such as Ellucian Colleague.
  • Excellent facility in using Microsoft Office Suite, including Word and Excel, and ability to use related office equipment.
  • Ability to handle sensitive information and maintain confidentiality; Working knowledge of FERPA.
  • Ability to communicate and effectively interact with people across cultures and worldviews, both individually and as part of a team, and to respond effectively to sensitive inquiries or complaints.
  • Success managing multiple priorities under tight deadlines, establishing goals and priorities, and demonstrating personal initiative working without close supervision.
  • Professional written and oral communication skills. Ability to effectively present information to a wide range of constituents.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
