Under the supervision of the Dean of Students, the primary purpose of this position is to serve as support for multiple areas in Student Learning and Development (Residential and Commuter Life, Student and Community Engagement, Diversity and Inclusion, and Center for Global Education). This position interacts positively with members of the university community, vendors, and visitors to the university. This successful candidate must also have working knowledge of the aforementioned departments and the university at large.


Student and Community Engagement

  • Provides administrative support for the Student and Community Engagement Department.
  • Manages departmental email, journal entries, requisitions, contracts, ordering of office supplies. Assists with website updates. Attends weekly departmental meetings.
  • Supports department during major initiatives such as summer orientation, Welcome Weekend, move-in, community engagement projects, Back to Cap Week, Homecoming, Parent/Family Weekend, Sibs and Kids Weekend, Lip Sync, Grad Fest, Exam Treats, and Cap Jam and position searches. Participates in interviewing and training of student orientation staff.
  • Manage Student Organization information, including event requests when needed, approval of organization room access, and web and bulletin board updates. Helps manages budget information to groups.

Center for Global Education

  • Provide administrative support for the Center for Global Education.
  • Provides front line support for office when center is not staffed. Manages scheduling of appointments, office supplies, payment requisitions, management of Shop Site and website updates.
  • Provides leadership for ongoing updates in the Terra Dotta Study Abroad software system, payment of study abroad fees, and customer service to assist students, faculty, staff and outside constituencies using the software.
  • Assists with correspondence with prospecting ESL students and international students.
  • Supports department during Orientation annual events such as the Study Abroad Fair, Culture Night, and Position Searches.
  • Update Colleague screens, such as FPER for relative university data updates.

Office of Diversity and Inclusion

  • Provide administrative support for the Office of Diversity and Inclusion which includes preparing/managing requisitions and contracts.
  • Provides front line support for office when ODI is not staffed. Manages office supplies, payment requisitions, room reservations, and website updates.
  • Supports department during major initiatives such as Smooth Transitions and annual events such as MLK Day of Learning, ODI Week, Black History Month, and Women's History Month. Manages communication to and from Conference Services and takes meeting minutes. Assists with ST staff and activities.
  • Serves as a super user for the division regarding Qualtrics and Shop site, contracts and payment requisitions.


  • Associate's Degree or equivalent from two-year College or technical school; or six months related experience and/or training; or equivalent combination of education and experience.
  • Excellent facility in using Microsoft Office Suite, including Word, Access, Excel, and PowerPoint. Prior experience in MS Outlook preferred. Ability to learn Colleague, MS PowerPoint, MS Publisher, Adobe Photoshop and In-design are helpful.
  • Prior supervisory experience preferred.
  • Excellent professional verbal and written communication skills.
  • Organization, superior attention to detail, flexibility, creativity, excellent phone etiquette, and strong ability to multi-task.
  • Ability to work without supervision and demonstrate considerable initiative.
  • Ability to work closely and professionally with others as part of a team.
