Under the supervision of the Assistant Registrar for Student Services, this position works in the Transfer Credit area of the Registrar's Office to assist in the processing of incoming transfer credit for Capital students. The Transfer Credit Specialist assists the Assistant Registrar for Student Services in the research of transfer credit, transcript evaluation processing and written and verbal communication to students regarding transfer credit information. This position is responsible for the timely articulation and evaluation of transfer credit and the creation of course equivalencies in compliance with Capital University and Ohio Department of Higher Education (ODHE) policy. The person in this position coordinates with school and department heads, creates and maintains course equivalencies, and facilitates credit evaluation related projects to align with Capital's strategic, transfer recruitment and student success goals. Serves as a liaison between the Registrar's Office and other university administrators, staff and faculty for the transcript production process. Serves as backup to the front desk when necessary.


  • Process transfer credit postings in the Colleague student information system.
  • Enters pre-coded or open format data from source documents into the student information system, verifying for accuracy.
  • Utilize various resources to assist in determining course equivalencies including system maintained tables, Transfer Evaluation System (TES) software, college catalogs, utilize perceptive and SLATE.
  • Manage and maintain Ohio Transfer 36 (OT36) (transfer module) processes.
  • Receive, enter and digitize transient forms.
  • Support the work with schools and departments in development and maintenance of 2+2 pathway programs/articulation agreements in conjunction with ODHE and other institutions.
  • Work on posting CCP coursework for incoming high school students.
  • Receive, post and maintain AP scores.
  • Assist in direct customer service and communication to students, faculty, staff and college community for all transfer credit operations and processes.
  • Verbal and written communication with students to assist in their understanding of transfer credit policies, practices, and decisions.
  • Assist in direct customer service for Registrar operations and processes
  • Cross train in other Registrar area operations as approved by management.


  • Bachelor's degree required, with at least one year of experience in admissions, registration, student services, or a related field.
  • At least two years prior experience in an office setting servicing the public with professional and courteous qualities.
  • Knowledge of College Source TES and Transferology products is preferred.
  • Experience with student information systems is preferred.
  • Ellucian Colleague knowledge is preferred.
  • Excellent facility in using Word, Excel, Windows 2000.
  • Ability to handle sensitive information and maintain high level of confidentiality.
  • Ability to sit at desk for prolonged periods of time performing repetitive keyboarding duties.
  • Excellent professional communication skills (verbal and written).
  • Ability to work without supervision and pursuing job in a serious and professional manner.
  • Organization and superior attention to detail.
  • Ability to use related office equipment, including PC monitor, keyboard and printer, telephone, copier, fax, calculator, validator and microfilm machine.
