Under the supervision of the Director for Facilities Management, manages the daily operations of the Facilities Management Office. This position includes billing reconciliation, file maintenance, report compilation, invoice processing, budget preparation and reconciliation, coordination of meetings, and supervision of students as well as all facets of the office function.


Responsibilities:

  • Assures payment of university utility bills, bills for supplies, and payment to contractors through requisitions or purchase orders.
  • Works with Facilities Purchasing Coordinator in managing purchase orders for the University (except IT).
  • Prepares weekly and monthly reports.
  • Answers phones, takes work orders, maintains calendar of events for department, maintains department files, coordinates meetings.
  • Completes all correspondence and mail for department.
  • Maintains student workers' time for payroll and trains them for HELP desk functions.
  • Assists the Director in the maintenance of the budget.
  • Manages the Fleet maintenance program.
  • Maintenance Direct Program administrator.

Qualifications:

  • Minimum four years of office experience, preferably in higher-education setting, and or an associate degree with office management experience preferred.
  • Accounts Payable or some experience in Finance is preferred.
  • Excellent facility in using Microsoft Office Suite, including Word, Access, Excel, and Outlook.
  • Ellucian Colleague experience is preferred.
  • Must have excellent professional verbal and written communication skills.
  • Demonstrated skill in managing office systems and meeting established deadlines.
  • Attention to detail and ability to bring matters to closure a must.
  • Ability to handle sensitive information and maintain confidentiality.
